| How to Administer the Calendar | |
| Calendar and Editor ID | |
| In the upper right hand corner of each editing screen is the name of the administrator and the name of the calendar that is being edited. Usually that will be the calendar that was showing when you entered the Administration menu, but not always, so its a good idea to check. If you think it is wrong click on the [Change] link to select the calendar. | |
| Main Menu | |
| This is the Administration interface that has all the possible selections. A lot of the time when you are finished editing some element you will want to return to this screen but it isn't obvious how to do so. On most pages there is a Menu: box near the top of the page. Click in the box to make your selection. | |
| View Calendar | |
| This selection shows you the calendar that you are
currently editing. If you don't see the changes you thought you made, first
refresh the page. If that doesn't work, then you may not have saved your
changes before switching to view it.
While logged in, the Main calendar will show all events from each calendar you have permission to edit. For example, if you have permission to edit the Resource calendar, those events will appear when you view the Main calendar. It will look like some events are duplicated when actually they are not . When you log out, only those events which are on the calendars programmed to show on the Main calendar will appear. | |
| Change Calendars | |
| Different users have different rights. Not every user has the right to edit other calendars. But, if you have those rights, this is where you would switch from one calendar to another. | |
| Add Event | |
| Add event and Edit/Delete events take you to very different screens. This screen will prompt you for an event title and description. The event title is what appears in the grid view. Clicking on the event title in the calendar takes you to the description which provides greater detail. | |
| NOTE: On the Resource Calendar, the Room and Group / Team shows in the grid view. | |
| Edit/Delete Events | |
| This screen will open with a list of events for the current month. You can change to another month or year. | |
| Move Events | |
| This screen adds the ability to move an event from one calendar to another. It requires users to have "Edit" permissions in order to access. Only those calendars the user has authorization to "Add" events to will be shown as possible destinations for the event move. The original event is completely removed from the original calendar.
After you move an event, you will need to update some of the fields. Change to the calendar you moved the event to and choose Edit/Delete Events. Click on the Edit button next to the event you moved. Update the necessary fields, uncheck the box next to Modify Event Schedule, and click Save. This also makes the color coding take effect. | |
| Copy Events | |
| This screen adds the ability to copy an event from one calendar to another. It requires users to have "Edit" permissions in order to access. Only those calendars the user has authorization to "Add" events to will be shown as possible destinations for the event copy. The original event remains on the original calendar.

| Manage Calendars | |
| This is where new calendars are added, old calendars are deleted and changes are made to existing calendars. Changes you would make here would be to the Key, Name and Description of the Calendar. The key is what is used to retrieve the calendar. For example, to load the Youth calendar you use the key http://www.hosannalutheran.com/cgi-bin/calendar.pl?calendar=youth The Name of the Calendar is what appears in lists that you use to select calendars. You don't have to have a description, but you can to help remind you about the scope and purpose of a calendar. | |
| Manage Plugins | |
| Plugins are small programs that are used to modify the basic scripts that influence the appearance and editing of these calendars. If you enable a plugin then the main program will make whatever changes are caused by the plugin. If you want to stop those changes just disable the plugin. | |
| Admin Interface | |
| This is where you would change the look of the Administrative Interface. | |
